How do I sell and collect payment on site on the day of the event?
On the day of the event, to sell a ticket or register someone who has not booked online, open the event in the dashboard or in the Donoor app and click Add a participant: you enter their name, email, the chosen rate, then how they paid — cash, cheque or bank transfer. Their tickets are issued and sent to them by email straight away, with no payment terminal and no online account required on their part.
If someone booked online but did not complete their payment, the To process tab lets you resend them their payment link or record that they paid in person.
Selling to and registering someone who has not booked
- In the event, open the Participants tab and click Add a participant (the "+" button next to the filters, in the app).
- Enter their First name, Last name and Email (the phone number is optional): their tickets will be sent to this address.
- Choose the Rate and the Quantity, tick their options and answer the questions on your registration form if they give you the answers (a medical certificate can also be added later from their record).
- Say how they paid, then click Add the participant. Their tickets are created and, unless you untick the email sending option, received straight away.
This feature, identical to the box office in the dashboard and in the mobile app, works equally well for collecting race bibs, for a gala where booking is not mandatory, or for a fête: you create the registration in seconds, without charging the person online.
Important: if all the rates for the event are full or closed, Add a participant no longer offers any rate. Open the Tickets tab to increase the number of places or reopen a rate before you can register someone else: see configuring tickets and rates.
Cash, cheques and bank transfers are accepted
Yes: at the payment step, choose how the person paid.
| Payment | What you record |
|---|---|
| Cash | Paid in cash, at the box office |
| Cheque | Cheque received in person |
| Bank transfer | Bank transfer already received in the association's account |
| To be paid | Booking kept, with a payment link to send or to collect later |
Once the payment method has been chosen and confirmed, a transaction is recorded in your dashboard like any other payment: you can find it again and refund it later if needed. As the money does not go through Stripe or PayPal, no provider fee applies to this sale: the association receives the full amount paid.
Good to know: for the rest of your accounts (till, sales book), carry on counting your cash as you already do. Donoor records the sale and issues the tickets, but does not replace your physical cash box.
A group or several tickets at once
Increase the Quantity to sell several tickets at the same rate in one go, for example for a family. All these tickets then carry the same name and the same email, those of the person at the box office: for named tickets with a different name on each, add each participant separately.
An online booking left unpaid
Card declined, payment abandoned part way through: these bookings never appear in the participants list, but in the To process tab of the event.
- While their payment link is still valid, the Payment link button lets you copy it or send it again: the person pays themselves, online, by card, Apple Pay or Google Pay.
- Once this link has expired (their places are then put back on sale), the Collected on site button records in one click that they paid in person: their tickets are reactivated and sent again by email, if the event is not full.
- The Edit button also lets you correct their name, email, rate or quantity, and specify their payment method before they have paid.
For checks at the entrance (scanning tickets, requires a network connection), see check-in at the entrance, and to manage the full participants list, see managing and exporting the participants list.
Who can take payments at the box office?
By default, only the owner and administrators see Add a participant and can process the To process tab; this right (Edit ticketing) is adjusted member by member under Settings › Team, where you can also turn it on for a volunteer working at the box office. See inviting your team and managing their rights.
Key takeaways
- Add a participant registers and collects payment from someone who has not booked online in a few seconds.
- Cash, cheques and bank transfers are accepted directly in Donoor, with no payment terminal: the sale is recorded and the tickets are issued straight away.
- A sale paid in person does not go through any payment provider: there is therefore no fee on it.
- An unpaid online booking is handled in the To process tab: resend the payment link, or collect payment on site.
- This right is reserved for the owner and administrators by default; turn it on for a volunteer if needed.
