How does the digital membership card work?

The digital membership card is emailed automatically to each member, as a PDF, as soon as their membership is paid or approved. It carries a unique QR code linked to the member's record: one scan from the Donoor app or the dashboard tells you straight away whether the membership is valid.

Nothing to print or hand out: the card is included in Donoor's membership management.

When the card is sent

The card goes out as soon as the membership is recorded in your list of members:

  • Membership paid online: right after payment, in the confirmation email.
  • Membership requiring approval: with Once payment is made, the card goes out on payment; with Now, it goes out immediately and the email shows the amount still to be paid. For cash or a cheque, I've been paid approves the membership and sends the card.
  • Member added by hand (Add a member): the Email the membership card box is ticked by default.
  • File import: cards are only sent if you tick the option to send the emails (unticked by default).
  • Several people signed up at once: each one receives their own card, with their own number, at the address given for them.

The email is sent in your association's name, with its logo.

Important: for a free membership or one paid offline, the email only goes out if your association has a validated Stripe or PayPal account. Otherwise, the membership is still recorded: once the account is validated, send the card with Resend the membership card.

What the card contains

The card is an A4 PDF, laid out automatically. It shows:

  • the name of your association and of the plan taken out;
  • the member's name and email address;
  • the validity dates, or "no time limit" for a membership that never expires;
  • the rate and the amount paid, and the options taken (shirt, meal…);
  • the QR code and the membership number, which starts with MBR-.

The layout is the same for every association: to change what appears on it, edit the plan or the member's record, then resend the card. The step-by-step guide is in the Membership course, "Membership cards" module.

How the member shows their card

  • On their phone: they open the PDF received by email and show the QR code.
  • Printed: on a plain A4 sheet.
  • From their donor area: under Memberships, the Card button opens it and PDF downloads it.
  • Right after payment: the confirmation page offers Download my up-to-date card with QR code.

Unlike a ticket, the card is not "used up" when scanned: it works for every visit. To help a member find it: finding your membership card.

Checking a card at the door

With the Donoor app

  1. In the Memberships tab, open the membership.
  2. Tap Scan a membership card and allow camera access.
  3. Point at the QR code: the screen shows Valid membership or Invalid membership, with the name, the association, the plan, the options, the number and the end date.

A ticket shown by mistake is flagged. See also scanning tickets and cards in the app.

From the dashboard

  1. On your dashboard, open Memberships and click Scan (also available at the top of an open membership).
  2. Allow the camera and hold up the QR code.
  3. The result shows Valid membership or Expired membership, with the member, the plan, the number and the validity. Scan another moves on to the next one.

Here, any membership that is not active (expired, cancelled, awaiting payment) appears as "Expired membership": open the member's record to see the exact status.

If the member doesn't have their card

  • Type their membership number in the field below the camera (or enter the number on the dashboard), then Verify: the result appears just as for a scan.
  • They don't know their number? Search for them by name or email in the Members list and check their status.

Tip: the scan recognises all Donoor cards, not only yours. Also check the plan shown, and compare the member's name with the person in front of you: the card is personal.

What someone sees when scanning with an ordinary phone

Any phone's camera reads the QR code and opens a verification page, with no app or account needed. It shows the status in a coloured banner, your association's name and logo, the plan, the member's name, their membership number, their validity dates and the words "Verified by Donoor". The member's email address does not appear.

The QR code is a link to the member's record, read at the moment of the scan: even a card printed months ago shows the up-to-date status.

Status shownWhat it meansWhat to do
Active membership (green)End date not yet passed, or membership with no time limit.The member is up to date: check that the name matches.
Expired membership (red)End date passed, or membership set to Mark as expired.Invite them to renew; if they already have, ask for their new card.
Awaiting payment (orange)Membership recorded, payment not yet received.Open their record to see what is still to be paid.
Cancelled membership (grey)Membership cancelled from its record, or fully refunded (a partial refund does not cancel it).The card no longer gives any rights. Cancelled by mistake, with no refund? Reactivate it from the record.
Card not foundThe QR code matches no card: damaged link or a different document.Look the member up by name or number in Members.

Expiry, renewal and lost cards

Expiry and renewal

Once the end date has passed, the scan shows "Expired membership"; a membership set to No limit never expires. Before it ends, each member receives a reminder email 30, 15 and then 7 days beforehand, at 9 am.

They renew from their donor area with Renew (shown from 30 days before the end onwards), or from the membership page. Renewing creates a new membership: a new card by email, a new number, a new QR code. Details in the "Reminders and renewal" module.

Good to know: the old card stays linked to the old membership and will show "Expired membership" on its end date. At the door, it is the new card that must be scanned.

Resending a lost card

  1. In Memberships, open the membership, then the Members section.
  2. On the member's row, click Manage.
  3. Click Resend the membership card and confirm with Resend the card.

The card goes to the address on their record, with the same number and the same QR code: an old printed card remains valid. Wrong address? Correct it first with Edit. The same action is available in the member's record in the app.

Key takeaways

  • The card is emailed automatically, as a PDF, as soon as the membership is paid or approved.
  • Its QR code points to the member's record: the scan always shows the current status.
  • Check it with the app, the dashboard or, without the card, the membership number.
  • A resent card keeps its QR code; a renewal gives a new card.
