How do I invite members of my team and manage their permissions?

You invite a member from Settings › Team by clicking Invite a member: enter their email address, choose their role, and they receive an email invitation valid for 7 days. The number of members is unlimited and free, and you can then adjust each person's permissions as precisely as you like.

Donoor offers three roles when you send an invitation, Administrator, Volunteer and Member, each with default permissions that you can fine-tune one by one.

Before you invite: a confirmed payment account

Your association must have connected and validated Stripe or PayPal before you can invite anyone. This is the same rule that protects the sending of all emails on behalf of an association, introduced after a phishing attempt by an unverified association. Without a confirmed payment account, Donoor refuses the invitation: start by connecting Stripe or PayPal.

Inviting a member

  1. Open Settings › Team in your dashboard and click Invite a member.
  2. Enter their email address and choose their role: Administrator, Volunteer or Member.
  3. Click Send the invitation.
  4. The person receives an email and clicks the acceptance link. If they do not yet have a Donoor account, they create one in a few seconds, with their email address already filled in; if they already have one, they simply log in.
  5. They find your association in their dashboard, with the role you chose.

Until they accept, the invitation appears under Pending invitations for 7 days. The Invite a member training course walks you through these screens on video.

Tip: give each volunteer their own access rather than sharing a single password: the number of members is unlimited and free.

The three roles, and what each can do

Each role comes with default permissions, which you can then adjust one by one in each member's profile.

A fourth role, Owner, is not offered when sending an invitation: it belongs to the person who created the association. Only they can delete the association, and they keep all permissions at all times.

Adjusting a member's permissions precisely

  1. In Settings › Team, click on the member: their profile shows their role and all their permissions, grouped by category (organisation, payments, donations, fundraisers, ticketing, memberships, shop…).
  2. Turn each permission on or off, or use Turn all on for an entire category.
  3. Any permission that differs from the starting role is marked Changed.
  4. Click Save to apply the new permissions straight away, or Discard changes to return to the previous state.

The Roles, permissions and what the member sees training course shows this profile in detail.

Important: some permissions are sensitive, such as refunding a donation, removing a member or changing roles. Reserve them for people you trust.

What a member sees in their dashboard

Each member finds your association in their own dashboard, with only what their role and permissions allow.

  • Without the right to see amounts, figures are replaced by dots and marked Restricted access.
  • On a page they are not authorised to view, such as payouts, they see Access denied: someone in charge at the association can grant them this access under Settings › Team.
  • An authorised volunteer can use Tap to Pay and validate tickets at the entrance without seeing the amounts collected.

Tracking, resending or removing a member

  1. The Team history button lists each member's actions; their profile also shows their last login.
  2. To change their role, open their profile and choose another one: their default permissions change with it.
  3. To close their access, click Remove from the team in their profile: they lose access immediately, but their past actions remain in the history.
  4. An invitation never received? Resend it. No longer needed? Cancel it from Pending invitations.

An administrator can manage volunteers and members, but not another administrator: only the owner of the association can change or remove an administrator's role. The owner, for their part, can never be removed. The Tracking and developing the team training course details these screens.

Key takeaways

  • Invite a member from Settings › Team: one email address, one role, and the invitation goes out for 7 days.
  • Three roles when you send an invitation, Administrator, Volunteer, Member, with default permissions that you then adjust one by one.
  • The number of members is unlimited and free.
  • A confirmed payment account (Stripe or PayPal) is required before you can invite anyone.
  • Removing a member closes their access immediately, without erasing the history of their past actions.
