How do I create an event and sell tickets?
You create your event from Ticketing › New event in your dashboard, in four steps: the information, the date and location, the rates, then the registration settings. The event is first saved as a draft, and you publish it once it is ready.
This ticketing tool suits any type of event, free or paid, on a single day or over several days: gala, charity meal, conference, fête, course or workshop with several sessions.
The four steps to create your event
- Information. Give it a Title: its public link will take the form donoor.org/b/your-event. Add a Cover image (1920 x 500 px recommended), a Theme (your association's by default) and an Activity type, then a description.
- Date and location. Choose the duration: No end time, Single day or Multiple days, then the date, the times and the Location (address search).
- Rates. Create at least one rate: Fixed price, Pay what you want (the buyer chooses an amount, with a minimum) or Free. You can add others, with options and promo codes, in the configuration of tickets and rates.
- Finalisation. Set what the participant sees when registering: the questions asked, an optional donation, the total capacity, the waiting list and the visibility. Click Create event: it is saved as a draft.
You can also create an event from the Donoor mobile app, on iPhone as well as Android, with the same information to fill in. The Create your event training walks through each screen on video.
An event with several sessions or several dates
For a course offered over several periods (February holidays, Easter, summer…), create a single event, then one rate per session: for example "February course", "Easter course", "Summer course". For each one, open its details and turn on Specific date and time: "This rate takes place on a different date". Enter its start date and, if needed, its end date.
Then add, for each session, its own capacity with Limit the total quantity: each session keeps its places and its dates, parents choose the one that suits them, and you manage everything from the same event.
Tip: add a "Support" rate slightly more expensive than the full rate. Many participants like to give a little extra on top of their ticket.
Putting the event online
As long as the event is in Draft, only you can see it: nobody can book yet. The status button at the bottom of the event menu offers Publish; you need at least a name, a date and a rate with a name to publish.
| Status | What happens |
|---|---|
| Draft | Visible to you only; nobody can book |
| Published | Publicly visible, tickets on sale |
| Sales closed | No new tickets can be bought; the event remains visible and tickets already sold remain valid; reversible with Reopen sales |
| Finished | No ticket can be bought any more |
| Cancelled | Tickets sold are cancelled and participants are notified by email; the refund is not automatic |
Important: if you cancel an event by mistake, Reactivate restores the cancelled tickets where applicable and notifies participants by email.
Sharing your ticketing
Once online, the Copy, Share and Embed on my website buttons spread your event link via WhatsApp, on social networks, by email or directly on your website. Each participant immediately receives their tickets by email, as a PDF, each with its own QR code.
Good to know: Duplicate a past event creates a draft copy, handy for a following edition of the same event.
Managing the event after creation
From the event page, you will find: Participants (list, check-in, waiting list and refunds), Configuration (information, date and location, rates, options, form, contact, settings, promo codes), Mailing (write to your participants) and Stats (tickets sold, revenue, accounting details). Preview shows your public page with your current changes.
Next steps: asking participants questions, managing and exporting the participant list, and checking entries on the day.
