How do I set up tickets and rates for an event?
You create your rates in Configuration › Rates for your event: as many rates as you need (free, full price, student, member, VIP…), each with its own price, places quota and options. You then complete them with paid options, promo codes and, if needed, an optional donation at registration. Creating the event itself is explained in creating an event and selling tickets.
Create a rate
- In Configuration › Rates, click Add a rate.
- Give the rate a Rate name (for example « Standard entry », « VIP », « Show + meal ») and a description.
- Choose the amount: Fixed price (a set price), Pay what you want (the buyer chooses, with a minimum) or Free.
- Set limits if needed: Limit the total quantity (number of places for this rate) and Limit the quantity per order (maximum number per purchase).
- The rate is Rate open by default (on sale); you can switch it to Rate closed at any time, for example to end a launch offer.
For a course or workshop running over several sessions, turn on Specific date and time for each rate: « This rate takes place on a different date », with its own date. Each session therefore keeps its own capacity and dates, within the same event.
Can I create early-bird or members-only rates?
There is no automatic switch from one rate to another based on the date. In practice, there are two simple ways to do this:
- Early bird or reduced rate: create a Promo code (percentage or fixed amount) and share it only with the people concerned, for example your members. The promo code is applied to the order at checkout.
- Ending an offer: on the planned date, switch the rate back to Rate closed (or activate another « Full price » rate): this is a manual action, not an automatic one.
How do I offer free places to guests?
Create a promo code giving a 100% discount and send it only to your guests, artists or journalists. They register with this code and receive their ticket, with its QR code, just like any other participant.
Add extra options
The Tickets, rates and options training shows these settings in video.
In Configuration › Options, Add an option offers a paid or free extra (meal, T-shirt, parking…) for all rates or only for the rates you tick. An option can be a Mandatory option, with a Max quantity per ticket and a limited total quantity.
Tip: add a « Support » rate slightly more expensive than the full rate. Many participants like to give a little extra on top of their ticket.
Create a promo code
In Configuration › Promo codes, Add a promo code opens the following settings:
| Setting | What it does |
|---|---|
| Code | Letters and numbers, automatically converted to upper case |
| Discount type | Percentage (%) (up to 100%) or Fixed amount (€) |
| Usage limit | Number of times the code can be used; unlimited if left empty |
| Valid from / Valid until | Validity window for the code, optional |
| Active | An inactive code can no longer be used, without being deleted |
The promo code reduces the total amount of the order (rates and options included), up to the ceiling corresponding to the highest amount an order can reach.
Attach a donation to registration
In Configuration › Settings, turn on Allow participants to make a donation: a pay-what-you-want donation is offered on top of the ticket, for any type of event, not only a race or a charity collection. If your association's tax receipt service is active, also turn on Tax-deductible so that participants receive a tax receipt (Cerfa no. 11580) for this donation. For the exact conditions, see how tax receipts work.
Seating plan and numbered seats
Donoor handles simple tickets, without numbering or seating plans: you cannot assign a specific seat to each participant. For the vast majority of association events (standing or free seating), this is more than enough; only a theatre with numbered seats would need another tool.
Important: for a paid rate, the amount must be greater than €0; for a free rate, select Free directly rather than a fixed price of €0.
Key takeaways
- Create as many rates as you need in Configuration › Rates, each as a Fixed price, Pay what you want or Free, with its own place limits.
- Early-bird and reserved rates are managed with Promo codes (percentage or fixed amount); there is no automatic switch between two rates based on the date.
- A 100% promo code lets you offer free places to guests.
- Options add extras (meal, T-shirt…), mandatory or not, on all rates or only some of them.
- Donoor does not offer a seating plan with numbered seats: simple tickets only.
