Why Donoor for this project

Custom form

Collect the information you need: child's age, level, allergies, parental authorisation, emergency contact.

0 commission

For a 5-day course at €80 sold to 15 children, you keep €1,200 through Donoor. No commission is charged.

What to prepare

The honest list of equipment and team you need to make your atelier a success. No proprietary hardware to buy, you already have 90% of what you need.

Staffing

  • 1 educational coordinator
Designs the programme, checks supervisors' qualifications, handles unforeseen events.
  • 1 supervisor per 8–12 participants
BAFA diploma or professional certificate depending on the type of workshop. The younger the audience, the higher the supervision ratio.
  • 1 assistant for children under 6
Required for nursery workshops (1 adult for 8 children). Often a volunteer parent trained in PSC1.
  • 1 first-aider (PSC1)
MANDATORY for any collective reception of minors for more than 7 days. A trained supervisor can combine both roles.

Tools and equipment

  • A Donoor account (5 min)
Multiple sessions, limited places per session (quotas), custom form (age, allergies, emergency), member and non-member rates.
  • Venue suited to the activity
Organisation hall, municipal gymnasium, artist's studio. Check the ERP occupancy limit and PMR (reduced mobility) accessibility.
  • Teaching materials
Instruments, art supplies, sports equipment… Include the cost in the price or have participants bring their own.
  • First-aid kit
MANDATORY when receiving minors. Check expiry dates and adapt the contents to the activity (plasters, disinfectant, etc.).
  • Paper attendance sheet
To be ticked at the start and end of each session. Kept for 5 years (proof of attendance in case of an incident).

What the law says

We explain the legal obligations for your atelier in plain language. Checked by our team and up to date for 2026.

§

DDCS declaration if minors are received

Code de l'action sociale et des familles, articles L227-1 et seq.

Any collective accommodation of minors (ACM) must be declared to the DDCS (Departmental Directorate for Social Cohesion) 2 months in advance. Procedure carried out online via TAM (Téléprocédure Accueils de Mineurs). Mandatory from 7 children for a course lasting more than 14 days, or 12 children for a course lasting more than 5 days.

§

Statutory supervision ratios

Articles R227-15 to R227-22 of the CASF

With overnight stay: 1 supervisor for every 8 children under 6, and 1 for every 12 children over 6. Without overnight stay: 1 for every 10 children under 6, and 1 for every 14 children over 6. At least 50% of supervisors must hold a BAFA, with no more than 20% holding no qualification.

§

ACM director qualification

Article R227-13 of the CASF

For stays of more than 50 children or longer than 14 days, the accommodation must be led by a holder of the BAFD (Brevet d'Aptitude aux Fonctions de Directeur) or an equivalent qualification. For shorter stays, an experienced BAFA holder is sufficient.

§

GDPR: sensitive health data

Regulation (EU) 2016/679

Allergies, ongoing treatments and emergency contacts are sensitive health data. Secure (encrypted) storage is mandatory, access is restricted to the supervisors concerned, and data must be deleted at the end of the stay. Donoor automatically pseudonymises medical data in exports.

§

Mandatory insurance for collective accommodation

Check that your organisation's liability insurance (RC asso) specifically covers collective accommodation of minors, as standard cover does not always include it. Request an extension from your insurer (allow for an additional €30–80 per year). Essential: without it, you are personally liable.

Frequently asked questions

Can you manage several course sessions (school holidays)?

Yes, create a “Children's pottery course” event with several dates: February course (17 to 21/02), Easter course (14 to 18/04), summer course (7 to 11/07). Each session has its own capacity and dates. Parents choose. You manage everything from a single dashboard.

How do I collect children's ages or allergies?

Add custom fields to your registration form: “Child's age”, “Level”, “Food allergies”, “Person to contact in an emergency + phone”… This information is mandatory to validate the registration (safety).

Can I take a deposit (30%) and the balance on site?

Not for now: Donoor collects 100% of the price at the time of registration. For a deposit system, handle the deposit on Donoor (create a “€25 deposit” rate) and the balance in person (cash/cheque) on the day.

What if the child falls ill and cannot attend the course?

The refund policy is at your discretion. You can refund in full in 1 click from the dashboard. Or offer a transfer to the next session (move the registration manually).

Can I offer a sibling rate (discount for a second child)?

There is no automatic discount system. But you can create a “2-children pack” rate at €140 (instead of €80 × 2 = €160) that parents select when registering.

How much does managing registrations on Donoor cost?

€0. Donoor is 100% free: no commission, no subscription. Only bank fees (1.5% + €0.25) apply per payment, covered by parents 4 times out of 5.
